ESR Update

The Trust goes live on ESR from 1 July 2006 and HR and Payroll staff will be working extremely hard during this month to transfer all the staff records across to the new national system for all NHS staff in England and Wales. Debbie Sadler, Payroll Lead, took a few moments out of her busy schedule to answer some questions for Bulletin readers:

Q: Will staff notice any major differences from the payslips we currently receive?

A: The new look payslips are available to view on the intranet. The most obvious difference is that you will receive a separate payslip for each post you have.

Q: Will I retain the same employee number?

A: No you will not retain your current number. The new number will be eight digits long, and if you have more than one post currently, the second post will use the same number but will have a suffix, ie. 10002345 – 2

Q: If an employee has a weekly and a monthly post, will they notice any differences to the tax they pay?

A: Yes they will, for example, if a member of staff currently has a tax code (eg 503L) on the monthly post, and a Basic Rate tax code on the weekly post, from now on the tax code will be 503L on both posts.

Q: What happens if a member of staff currently has a split tax code across monthly and weekly posts?

A: Staff should contact the tax office and ask them to ‘rejoin’ their tax code, and ask for confirmation to be sent to the Trust.

Q: I have heard that there are changes to national insurance, please can you explain?

A: If you currently have a monthly substantive post, and a weekly bank post, you have been enjoying the benefit of double national insurance relief. Our old payroll system was not able to join these posts together, but ESR is fully capable and will follow Inland Revenue rules correctly.

Q: Will staff see any difference in the frequency of payslips?

A: If a member of staff currently has a weekly and a monthly post and they have a week where they do not work, they will still receive a payslip for that week showing a tax refund if it is due and the employee is on a cumulative tax code.
